Social Media Giveaway Best Practices

1. For Facebook and Instagram social media giveaways we recommend they last no longer than 48 hours. Ensure you are able to monitor the giveaway post closely throughout entire duration users have to enter. This will help avoid potential scammers or impersonators.

2. On Facebook you cannot request followers to share your post or tag a friend as means of entry into your giveaway. This can result in Facebook shutting down your personal page and all Hy-Vee business pages.

  • Note: This is not applicable on Instagram.
  • On Instagram, you must not encourage users to falsely tag content as a means of entry into your giveaway. (Example: Don’t encourage people to tag themselves in photos if they aren’t in the photo).

3. Add disclaimer information at the end of your post such as “Hy-Vee will never ask for your personal information or send you links requiring a purchase. Hy-Vee will not provide you with links to other websites. Please report any suspicious account activity to Facebook. No purchase necessary. Void where prohibited. See store for details. Subject to official rules.”

4. Winner of giveaways with prizes greater than $600 must fill out an affidavit. All prizes valued at or above $600 must be reported to the IRS on a 1099 form. The affidavit will have to be returned to Accounting so that they can issue a 1099 tax document to the winner.

Social Media Giveaway Process

Last-minute giveaways pose numerous risks we are taking steps to avoid and minimize. Plan at least 1-2 weeks ahead of your desired promotion launch date. Only local marketing coordinators should facilitate giveaways.

GIVEAWAYS VALUED AT LESS THAN $100

  1. You may create rules using the template created by legal. Keep a printed copy of the rules at the customer service counter for the duration of the giveaway.
  2. If customers will enter your giveaway via social media, rules for entry should also be published to www.hy-vee.com. Request to have rules published to the website using this form. (Allow at 2-3 business days lead time.) If customers enter in store, rules do not need to be published to the website.
  3. Schedule your post for publishing in Sprinklr. When scheduling, select Contest/Giveaway from the Special Category field dropdown. Include a link to the rules located on hy-vee.com (as requested in step 2) and/or place a hard copy at the customer service desk with the verbiage “For a complete set of rules, visit our customer service department.” in your social copy.
  4. Review and approval by corporate social team. (Allow at least one business day lead time.) The corporate social team needs at least 24+ hours to review and approve before your post can publish. Last minute approval requests will delay your original promotion timeline.
  5. Announce giveaway and monitor engagement. Once approved, your post will either publish immediately or at the scheduled time. The store and area coordinators are responsible for monitoring all giveaway activity in your store's engagement dashboard closely to keep an eye out for impersonation accounts and comments questioning the integrity of our giveaway.

GIVEAWAYS VALUED AT MORE THAN $100

  1. Request official rules to be drafted by legal. (Allow at least one week lead time.) All social media giveaways must have a set of rules written by the Hy-Vee legal department and reference them in social copy.

    Legal has several rule templates for social media giveaways they can use to generate official rules for a particular giveaway. Legal can generally turn them around in a couple of days, but this depends on the volume of requests, the complexity of the giveaway, and other priorities in their workload.

    In order to draft rules, email Carlie Tovrea (Carlie.Tovrea@hy-vee.com) in Legal and socialmedia@hy-vee.com with the following information:

    • Name of the Giveaway/Sweepstakes
    • Entry instructions (e.g. post a comment in response to a sweepstakes specific post to be entered to win.
    • What store(s) are participating
    • Provide the links to the applicable social media sites that will contain the sweepstakes specific post
    • What is the sweepstakes period (when will the post go up and how long will people have to enter)
    • What random method will we use to choose the winner
    • When will we notify the winner
    • How will we notify the winner
    • What is the prize
    • What is the approximate retail value of the prize
